The guard was the thief — verification and QR checks that prevent it

A Kanpur hotel guard stole Rs 2 lakh of wedding jewellery; a Pilibhit hospital guard was booked for a patient's earrings. Both passed as verified. Here is what verification must mean in 2026 — papers, reliever rule, and QR ID.

"All our guards are verified" is a statement about a policy. You want a statement about the four people who will actually stand on your premises. September 2026 showed why.

In Kanpur, a hotel security guard was arrested for allegedly stealing gold jewellery worth about Rs 2 lakh from a wedding family's belongings — caught because CCTV showed him moving suspiciously around their luggage; all items were recovered. In Pilibhit, a private-hospital guard was booked for allegedly stealing a critically ill patient's gold earrings near the hospital gate, again on CCTV. Both men had been posted as trusted guards. Both were caught by cameras, not by the verification that should have screened or deterred them.

The question for your site is not whether an agency claims verification. It is whether the specific guards on your gate can prove it, and what happens when they are replaced.

The per-guard file (ask for these four)

For each named guard proposed for your site:

  1. Police verification / antecedent-check record — for that person, not a batch certificate for the agency.
  2. Photo identity and address proof — matched to the person standing in front of you.
  3. Training record — what training, when, from which recognised institute under the agency's training tie-up. PSARA contemplates trained guards; an agency should state it per guard.
  4. For armed posts, the firearm-licence position — whose licence, valid where and until when. (And read our guide on why hiring gunmen is usually a mistake before you specify armed cover at all.)

Then ask the question that separates serious agencies from casual ones: what happens when this guard is replaced? Guarding has turnover. A serious agency re-verifies before posting the replacement and informs you. A casual agency sends whoever is available, and the file you inspected in month one describes nobody on your gate by month three.

The 2026 upgrade: QR IDs and faster checks

Two practical changes have reached MP sites this year:

  • QR-coded guard IDs and training certificates. In several states, guard ID cards and training certificates now carry QR codes clients, police or auditors can scan to verify training certification, police clearance, PF/ESI enrolment and deployment details instantly. Ask to scan one at the interview table. An agency whose QR resolves to a live record is an agency with a real back office.
  • Faster background verification. Integration work linking PSARA data with national intelligence grids aims to cut standard-case police verification from months toward weeks. Timelines still vary by district — but "verification takes six months so we posted him unverified" is no longer an excuse. No unverified posting, period.

Neither replaces the replacement rule. A QR card for the guard who left does not verify the stranger who arrived.

The contract lines that make it stick

  • Quote the agency's PSARA licence number, state and validity in the contract, with a duty to inform you of any status change.
  • No unverified guard is posted; substitutions are notified with fresh papers before the new guard's first shift.
  • Supervisor name, base and reliever plan are named — because the 2 a.m. absence is when unverified stand-ins appear. An agency without relievers runs double shifts, which is unlawful and is why guards sleep at 4 a.m.
  • Monthly ESI/PF challans with the ECR (names, not totals) so the guards on paper match the guards on site.
Ask for What it proves Fail signal
Police verification per named guard This person is checked Policy statements, batch certificates
ID + address matched to face The file describes this human Files produced for other names
Training record + institute tie-up The guard is trained, not just uniformed Vague "all trained" with no records
QR ID that scans live Back office is real and current Laminated card, dead QR, "system down"
Replacement + reliever process Month-three guards are verified too "We will inform you" with no process
PSARA number/state/validity in contract Legal deployment where you stand Wrong state, expired, "renewal in process"

For guards reading this: verification protects you too

Verified, on-roll guards get ESI, PF, minimum wages and a record that travels to the next posting. Cash-in-hand, unverified duty gets you blamed first when something goes missing — as September's cases show, the camera finds someone, and without papers it finds you.
